The following principles are designed to help UKSG welcome new volunteers in a way that is open, inclusive, and supportive. They have been created in alignment with the UKSG’s byelaws and code of conduct. Our aim is to create opportunities that allow members to contribute meaningfully while feeling valued and respected.
1. Open and Transparent Process
- Volunteer opportunities will typically be shared through an open call, so everyone has the chance to get involved.
- Calls will be circulated widely across our community to ensure equal access.
- If more people apply than there are available roles, we will endeavour to offer alternative ways to participate and keep in touch with those who are interested, so future opportunities can be shared with them.
2. Commitment to Diversity and Inclusion
- We actively encourage applications from people with different professional backgrounds, lived experiences, and perspectives. Be the change that you want to see!
- At times, we may make targeted calls for volunteers (for example, inviting early career professionals or colleagues from underrepresented groups) to ensure our committees reflect the breadth and richness of our community.
3. Fairness in Recruitment
- Vacant positions will not be filled automatically by colleagues or friends of departing members.
- Every applicant will be welcomed into the same fair and transparent process, ensuring equal opportunity for all.
4. Role Fit and Contribution
- Volunteers are invited to bring their skills, knowledge, and perspectives to strengthen UKSG’s collective work.
- We encourage applicants to share how they feel they can contribute to UKSG’s mission and values, so we can match people to roles where they will thrive.
5. Shared Responsibility and Respect
- UKSG is a community of practice, and we value the collective responsibility of our members.
- Volunteers are expected to collaborate with kindness, uphold inclusive practices, and represent the wider community rather than individual institutions.
6. Term and Renewal
- Committee Chairs will review their membership annually to ensure roles continue to support the group’s needs and to create opportunities for others to get involved.
- We understand that circumstances change. Members are able to take a sabbatical from their committee work for personal or professional reasons simply by alerting the Chair that they intend to do so. Committee Chairs are encouraged to speak with members about their roles, including suggesting a sabbatical where appropriate.
- Where a change in membership is recommended, the decision will be taken by the relevant Sub‑Committee Chair in consultation with, and with the approval of, at least two Trustees. Alternatively, decisions may be taken jointly by the Sub‑Committee Chair and at least one UKSG Officer (Chair, Vice Chair, or Treasurer). This approach provides appropriate support and accountability for Sub‑Committee Chairs, protects the integrity of the process, and helps maintain a healthy balance of continuity, renewal, and shared responsibility across the community.
